Privacy Policy

This policy explains what personal information SotoAlgarve collects, why we collect it, how we use it and what rights you have. We collect very little, we do not sell it, and we do not share it for marketing.

1. Who we are

The data controller is SotoAlgarve Limited (registered in England and Wales, company number 17404916), whose registered office is at Highfields House, Plumptre Lane, Danbury, Essex CM3 4JL. For any privacy question, or to exercise any right described below, contact info@sotoalgarve.com.

2. What we collect

Information you give us: your name, email address, telephone number, the market and property type you are interested in, and anything else you choose to tell us in the enquiry form, by email, by telephone or in conversation.

Information collected automatically: our host records standard server logs (IP address, browser type, pages requested) for security and to keep the site running. We do not use advertising cookies or third-party tracking pixels. Any analytics we use is configured to collect aggregate visit data, not to identify you personally.

3. Why we use it, and our lawful basis

To answer your enquiry and discuss whether we can help — because you have asked us to, and it is in our legitimate interest to respond to enquiries about our services.

To provide buy-side representation where you engage us — performance of our contract with you.

To meet legal and regulatory obligations, including anti-money-laundering and client identification requirements in Portugal, Spain and the United Kingdom, and to keep accounting records — compliance with a legal obligation.

To send occasional market information, only if you have asked us to — consent, which you can withdraw at any time.

4. Who we share it with

Only where it is necessary to do the work you have engaged us for, or where the law requires it. That may include the lawyers, surveyors, tax advisers, notaries and other professionals involved in your purchase; our own professional advisers; and our service providers (for example our website host and email provider), who act on our instructions and may not use your information for their own purposes. We do not sell your personal information, and we do not share it with sellers, agents or developers except where it is necessary to progress a transaction you have instructed us on.

5. International transfers

We operate across the United Kingdom, Portugal and Spain, so your information may be transferred between them. The UK, the EEA and adequacy-approved countries provide equivalent legal protection. Where a provider is located outside these, we rely on the UK International Data Transfer Agreement or the European Commission’s Standard Contractual Clauses.

6. How long we keep it

Enquiries that do not become engagements: up to two years from our last contact, then deleted. Client records: for the duration of the engagement and for seven years afterwards, to meet legal, tax and anti-money-laundering obligations. Identification documents collected for compliance: for the period required by the applicable regulations, then destroyed.

7. Your rights

You have the right to ask for a copy of the personal information we hold about you; to have inaccurate information corrected; to have information erased where we no longer have a reason to hold it; to restrict or object to our use of it; to receive it in a portable format; and to withdraw consent at any time where we rely on consent. Write to info@sotoalgarve.com and we will respond within one month.

8. Security

The site is served over an encrypted connection. Access to enquiry information is limited to those who need it to do the work. No system is perfectly secure, but we take the confidentiality of client information seriously — it is the basis on which our clients deal with us.

9. Cookies

This site sets only the cookies necessary for it to function and to keep it secure. It does not use advertising, profiling or cross-site tracking cookies, and we do not sell or share your browsing data.

If you accept when asked, we also set a Google Analytics cookie so we can see which pages are read and how people find us. It records visits, not identities, and IP addresses are anonymised. You can decline without losing any part of the site, and you can change your mind at any time by clearing this site’s data in your browser. You can also block cookies entirely in your browser settings, though parts of the site may then not work as intended.

10. Complaints

If you are unhappy with how we have handled your information, please tell us first at info@sotoalgarve.com so we can put it right. You also have the right to complain to a supervisory authority: in the United Kingdom, the Information Commissioner’s Office (ico.org.uk); in Portugal, the Comissão Nacional de Proteção de Dados (cnpd.pt); in Spain, the Agencia Española de Protección de Datos (aepd.es).

If we change this policy we will update the date at the top of this page.
